TurnKey Management Solutions ("TKMS", "we", "us") manages short-term rental properties on behalf of property owners. This policy describes what information we collect, how we use it, and who we share it with.
We use this information to manage properties, communicate with owners and guests about reservations and property matters, coordinate cleaning and maintenance, produce owner statements, and meet legal and tax obligations. We do not sell personal information.
When you message us about a stay, we use AI to help draft the reply. A person is always available — ask for one at any point and you will reach a member of the TKMS team directly.
We keep a record of these conversations as part of our business records, so that decisions about a stay can be reviewed afterwards. Individual messages cannot be removed from that record.
TKMS runs three SMS text messaging programs. Each has exactly one way to opt in — a public sign-up page where you enter your own mobile number and tick a consent box yourself — and the three never share a list. Consent is never taken at onboarding, in person, by phone, by letter or in a booking, is never bought, transferred or inferred, and is never a condition of any agreement, booking or purchase. Property management — conversational texts with the owners, cleaners, vendors, inspectors and contractors of properties we already manage, about maintenance, scheduling, guest issues and account questions. Stay Again by Text (guests) — marketing texts to past guests who asked to hear about open dates and offers for returning guests. Sign-up at turnkeymanagementsolutions.com/guest-texts. We collect the name, mobile number, the ticked consent box, the consent wording version and a timestamp.
Texts for Property Owners (letter replies) — marketing texts about our property-management services to rental-property owners who received a letter from us and signed up to hear from us by text. We collect the name, mobile number, the ticked consent box, the consent wording version and a timestamp, plus an email address and property if you choose to give them. A letter is an invitation to that page, not consent.
In every program, message frequency varies and message and data rates may apply. You can opt out at any time by replying STOP to any message, and you can request help by replying HELP. Opting out of one program does not affect the others, and does not affect any right or obligation under a management agreement; we will continue to reach you by phone and email.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. This applies to all three programs. Information sharing with subcontractors that provide support services on our behalf is permitted where necessary to deliver the service. Text messaging originator opt-in data and consent are not shared with any third parties.
We share information only as needed to operate: booking platforms and the property management system we use to administer reservations, cleaning and maintenance vendors assigned to a property, payment and accounting providers, and messaging providers that deliver our email and text messages. Each receives only what it needs for that purpose. We also disclose information where required by law.
We retain owner and reservation records for seven years after the management relationship ends or the last related transaction is completed, whichever is later.
Seven years is longer than any retention period that applies to us — tax, accounting, insurance, and real estate record-keeping rules each set a shorter one — so a single period satisfies all of them without our having to judge which applies to a given record. Where a specific law requires us to keep something longer, we keep that record for the longer period.
You may request access to, correction of, or deletion of the personal information we hold about you by contacting us at the address below. Two limits apply: requests that conflict with a legal retention obligation are limited to what the law allows, and the message records described under Guest Messages are kept as business records that cannot be removed individually.
